This Privacy Policy describes how The SaaSMeister LLC, a Delaware limited liability company (“MyPropFile,” “we,” “us,” or “our”), collects, uses, shares, and protects information when you visit mypropfile.com, use our property reporting tools, or otherwise interact with our services (collectively, the “Services”).
MyPropFile provides a property intelligence platform that lets homeowners, prospective buyers, and other authorized users enter a U.S. residential address and receive a Home Truth Report containing equity estimates, roof and permit history, pool eligibility, solar potential, and related insights. We currently focus on South Florida (Miami-Dade and Broward counties).
Please read this Policy carefully. By using the Services, you agree to the practices described here. If you do not agree, do not use the Services.
1. Information We Collect
We collect three categories of information: information you provide to us, information we collect automatically, and information we obtain from third-party sources.
1.1 Information You Provide
- Property address. The street address you submit to generate a report.
- Identity and contact details. Your first name, last name, and U.S. mobile phone number provided at the unlock gate, plus any email address you submit to receive a PDF copy of your report.
- Property relationship. Your self-reported relationship to the property (for example, property owner, spouse or family member, prospective buyer, real estate agent, renter, or other).
- Optional household data. If you choose to enter it, your typical FPL (Florida Power & Light) electric bill amount, used to personalize solar savings estimates.
- Communications. Messages you send us, including SMS replies, emails to support@mypropfile.com, and information you submit when requesting a contractor connection or quote.
- Consent records. The exact text of the consent disclosure shown to you, the timestamp, your IP address, and your browser user agent at the moment you submitted your phone number. We retain this to comply with the Telephone Consumer Protection Act (TCPA) and similar laws.
1.2 Information Collected Automatically
- Device and usage data. Browser type, operating system, device type (mobile, tablet, desktop), referring URL, pages viewed, sections of your report scrolled into view, time on page, and similar telemetry.
- Marketing attribution. UTM parameters (source, medium, campaign), ad creative identifiers, and the landing path that brought you to the Services.
- Approximate location. Derived from your IP address and from the property address you submit (latitude, longitude, ZIP code, and county).
- Funnel events. Event-level analytics such as address submission, report load, preview view, unlock gate display, unlock submission, SMS verification, full report unlock, contractor CTA clicks, PDF download, and email capture.
We use a privacy-respecting analytics provider (Plausible) for aggregate funnel measurement and do not rely on cross-site advertising cookies for our own analytics.
1.3 Information From Third Parties
To generate your report, we query and combine data from public records and licensed third-party providers about the property address you submit. These sources include, without limitation:
- Google Maps, Places, Geocoding, and Solar APIs (satellite imagery, address validation, solar potential modeling);
- BatchData (property records and automated valuation model data);
- Miami-Dade County and Broward County open permit and property records;
- FEMA National Flood Hazard Layer (flood zone designations);
- Anthropic (Claude AI models used to generate plain-language report narratives).
These providers may receive limited data necessary to fulfill your request (typically the property address, latitude, and longitude). They do not receive your name or phone number.
2. How We Use Your Information
We use the information described above to:
- Generate, deliver, and personalize your Home Truth Report and any PDF version you request;
- Send the one-time SMS confirmation containing your report link, and to verify that your phone number is valid;
- Allow you to access your report from a different device or share it with a spouse, agent, or family member through the SMS deep link;
- Cache report results for up to 30 days so repeat lookups load faster and reduce third-party API costs;
- Connect you with vetted local contractors when you affirmatively request a quote or inspection through the Services;
- Generate and track unique 5% discount codes tied to contractor connections you initiate;
- Send you transactional and service-related communications (for example, your report link, contractor connection confirmations, discount codes, and customer support replies);
- Measure marketing performance, optimize ad targeting on our own first-party campaigns, and improve conversion through funnel analytics;
- Detect, prevent, and respond to fraud, abuse, security incidents, and violations of our Terms & Conditions;
- Comply with legal obligations, respond to lawful requests from public authorities, and enforce our agreements;
- Operate, maintain, debug, and improve the Services and develop new features.
Phone numbers collected at the unlock gate are stored in hashed form (SHA-256 of the E.164 number), with only the area code and last four digits retained in clear text for display purposes. We use the cleartext phone number only at the moment of SMS dispatch and to fulfill contractor quote requests you initiate.
3. SMS Messaging and Marketing Communications
TCPA consent. By submitting your phone number at the unlock gate, you expressly consent to receive a one-time confirmation SMS from MyPropFile containing your report link, plus subsequent transactional SMS messages relating to contractor connections you request and discount codes you redeem. Message and data rates may apply. Consent is not a condition of any purchase.
Opt-out. You can opt out of all SMS messages from MyPropFile at any time by replying STOP to any message you receive from us. Reply HELP for assistance. Once we receive your STOP request, we will stop sending you SMS messages other than a final confirmation that you have unsubscribed.
Email. If you submit your email address (for example, to receive a PDF copy of your report), we may also send you occasional product updates, market insights, and promotional content. Every email contains an unsubscribe link.
4. How We Share Your Information
We share information only as described below. We do not sell your personal information for monetary consideration.
4.1 Vetted Local Contractors and Service Partners
MyPropFile's business model includes connecting homeowners with vetted local contractors for roofing, pool, solar, and related home services in the South Florida service area. We may share your name, phone number, property address, ZIP code, county, and selected report data points (such as estimated roof age, last permit year, flood zone, pool eligibility, solar score, estimated home value, and total uplift potential) with one or more vetted contractors and service partners, including when you affirmatively click a contractor CTA inside your report and confirm the connection, and in connection with our ongoing partner programs intended to identify likely candidates for relevant home-improvement services.
Each contractor or partner we share your data with is contractually required to use the data only to contact you about the relevant home service, to honor any applicable discount code, and to comply with all applicable laws (including the TCPA and Florida's telemarketing rules). Up to three (3) contractors per service vertical per ZIP code may receive a given lead.
Your control. You can opt out of contractor outreach at any time by emailing support@mypropfile.com with the subject line “Contractor Opt-Out.” Once we process your request, we will not share your information with new contractor partners going forward, although contractors who already received your information may retain and use it under their own privacy practices.
4.2 Service Providers
We share information with vendors that help us operate the Services under written contracts that limit their use of your data:
- Vercel (hosting and serverless functions);
- Supabase (database and storage);
- Twilio (SMS delivery and 10DLC messaging);
- Resend (transactional email and PDF delivery);
- Zapier (lead routing and workflow automation);
- Plausible (privacy-respecting analytics);
- Anthropic (AI models for report narrative generation);
- Google (mapping, geocoding, and solar APIs);
- BatchData (property records and AVM data).
4.3 Legal, Safety, and Compliance
We may disclose your information if we believe in good faith that disclosure is necessary to (a) comply with applicable law, regulation, subpoena, court order, or other legal process; (b) protect the rights, property, or safety of MyPropFile, our users, contractors, or the public; (c) detect, prevent, or address fraud, security, or technical issues; or (d) enforce our Terms & Conditions or other agreements.
4.4 Business Transfers
If MyPropFile is involved in a merger, acquisition, financing, reorganization, bankruptcy, sale of assets, or similar transaction, your information may be transferred to or shared with the successor entity, subject to a privacy commitment at least as protective as this Policy.
4.5 Aggregated and De-Identified Data
We may create and share aggregated or de-identified data (such as ZIP-code-level conversion rates, average estimated home values, average solar scores, or anonymized funnel benchmarks) for analytics, marketing, partnerships, and research. This data does not identify you and is not subject to this Policy.
5. Cookies and Tracking Technologies
We use a small number of first-party cookies and similar technologies to operate the Services, remember your session, prevent fraud, attribute marketing campaigns, and measure aggregate usage. We do not use third-party advertising cookies for our own analytics. You can control cookies through your browser settings; however, disabling cookies may impair some features of the Services.
We currently do not respond to “Do Not Track” browser signals, but we honor verifiable opt-out and deletion requests submitted under applicable law (see Section 8 below).
6. Data Retention
We retain personal information only for as long as needed for the purposes described in this Policy, unless a longer retention is required or permitted by law.
- Submitted addresses: retained indefinitely in de-identified or pseudonymous form for service-area validation and analytics.
- Generated reports: cached for up to 30 days, then refreshed on the next request.
- Homeowner contact records: retained for the longer of (i) 4 years from the date of consent, to satisfy TCPA recordkeeping obligations, or (ii) the duration of any active contractor engagement initiated through the Services.
- Contractor lead records: retained for 7 years for tax, accounting, and dispute-resolution purposes.
- Analytics events: retained for up to 24 months in identifiable form, then aggregated.
7. Data Security
We implement administrative, technical, and physical safeguards designed to protect your information, including TLS encryption in transit, encryption at rest for our database, hashed storage of phone numbers, role-based access controls, row-level security policies on our database, and the principle of least privilege for service credentials. No method of electronic transmission or storage is perfectly secure, however, and we cannot guarantee absolute security.
If we become aware of a breach of personal information that affects you, we will notify you as required by applicable law.
8. Your Privacy Rights
Depending on where you live, you may have certain rights regarding your personal information, including the right to:
- Know what personal information we collect about you and how we use and share it;
- Access a copy of your personal information in a portable format;
- Correct inaccurate personal information;
- Delete personal information, subject to limited exceptions (such as TCPA recordkeeping obligations);
- Opt out of the “sale” or “sharing” of personal information for cross-context behavioral advertising, where applicable;
- Limit the use and disclosure of sensitive personal information;
- Not be discriminated against for exercising these rights.
California, Colorado, Connecticut, Virginia, Utah, Texas, Florida, and other state residents may have additional rights under applicable state privacy laws. To exercise any of these rights, email support@mypropfile.com with the subject line “Privacy Rights Request” and describe your request. We may need to verify your identity before processing your request. You may also designate an authorized agent to submit a request on your behalf, subject to verification.
If you are unsatisfied with our response, you may have the right to appeal our decision (where applicable) by replying to our response, or to lodge a complaint with your state attorney general.
9. Children’s Privacy
The Services are not directed to children under 18, and we do not knowingly collect personal information from anyone under 18. If you believe we have collected information from a child under 18, please contact us at support@mypropfile.com and we will delete it.
10. Geographic Scope and International Users
MyPropFile is operated from the United States, and the Services are intended for U.S. residents (currently focused on South Florida). If you access the Services from outside the United States, you understand that your information will be transferred to, stored, and processed in the United States, where data protection laws may differ from those of your home jurisdiction.
11. Third-Party Links and Services
Your report may contain links to or embed content from third-party services (for example, contractor websites, county permit portals, or FEMA flood maps). We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies before providing them with information.
12. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will post the updated Policy at mypropfile.com/privacy and update the “Last Updated” date above. Where required by law, we will provide additional notice (such as by email or in-product notification). Your continued use of the Services after the effective date of any updated Policy constitutes acceptance of the changes.
